Title: Fundraising Manager
Location: Hong Kong 
Reports to: Deputy CEO

Purpose of the Role
You are accountable for meeting Habitat for Humanity Hong Kong’s annual income targets and  building a sustainable donor pipeline across all fundraising streams. You will lead the day-to-day  fundraising function with an action-focused, hands-on approach, managing donor relationships,  executing campaigns, and ensuring the function operates with discipline, clear systems, and  measurable outcomes.
You are a direct support function to the Deputy CEO. Your role is to prepare the ground, manage  the pipeline, and know precisely when and how to bring in the Deputy CEO, CEO, or Board  Directors for strategic donor conversations, solicitations, and partnership negotiations.

Key Accountabilities & Responsibilities

  1. Fundraising Execution, Performance & Systems 
  • Develop and execute the annual fundraising plan across individual giving, corporate  partnerships, events, trusts and foundations, and other income streams. 
  • Translate organisational priorities into clear targets, KPIs, and activity plans for yourself  and your team. 
  • Monitor income performance against budget monthly, forecast accurately, and provide  regular reporting to the Deputy CEO and board committees. 
  • Ensure CRM data integrity and use it for pipeline management, donor segmentation, and  forecasting. 
  • Build replicable systems, processes, and documentation so the function operates  efficiently and consistently.
  • Prepare quarterly reporting for Habitat for Humanity International as required.
    1. Donor Cultivation, Pipeline Management & Strategic Escalation 
    • Cultivate, steward, and manage a portfolio of individual donors and corporate partners,  with clear tiering based on gift size, potential, and strategic importance. 
    • Lead day-to-day donor conversations, relationship management, solicitations, and  renewals within your authority. 
    • Know precisely when to escalate: bring in the Deputy CEO for high-value or complex  donor conversations; the CEO for transformational or mission-critical partnerships; and Board Directors for peer-to-peer engagement with their networks or ultra-high-net-worth  individuals. 
    • Prepare briefing packs, talking points, and stewardship materials to ensure senior leaders  are fully equipped for every escalated donor interaction. 
    • Represent Habitat Hong Kong at networking events, community engagements, and  fundraising activities as appropriate.
    1. Grant Applications, Donor Reporting & Programme-Specific Fundraising Own the end-to-end grant application process: identify opportunities, draft proposals,  manage submissions, and track outcomes. 
    • Oversee all donor reporting — edit and prepare grant reports, impact updates, and  stewardship communications for review by the Deputy CEO and approval by the CEO  where appropriate. 
    • Ensure all grant applications and reports are accurate, compelling, and submitted on time. Develop funding proposals and donor engagement strategies for specific programmatic  priorities, including overseas programmes and local community initiatives (e.g., Tai Po),  aligned with organisational strategic timelines. 
    • Work with Programme and Communications colleagues to produce compelling impact  content, case studies, and donor reports.
    • Collaborate with the Manager, Volunteer Programmes to ensure volunteer-facing events  and activities are designed to support broader organisational engagement and visibility,  with the Volunteer Programmes team owning volunteer-to-donor conversion pathways.
    1. Team Management, Capacity Building & Support to Deputy CEO 
    • Provide line management, mentorship, and professional development to the Assistant  Manager(s) and/or Fundraising Officer(s). 
    • Set clear individual KPIs, coach performance, and support career growth. Foster a high-performing, collaborative team culture grounded in accountability, learning,  and continuous improvement. 
    • Act as a force multiplier for the Deputy CEO: prepare donor materials, manage follow-ups,  coordinate meetings, and ensure no opportunity falls through the cracks. 
    • Demonstrate through your own behaviours a culture of growth. Role model the Habitat  values of accountability, courage, and humility.
    • Empower your direct reports to participate in discussions, make decisions within their  scope, and represent the organisation in donor and partner conversations.
    1. Governance, Compliance, Stewardship & Cross-Functional Collaboration 
    • Ensure accurate and timely use of CRM systems for donor tracking, forecasting, pipeline  reporting, and stewardship planning.
    • Uphold best practices in donor stewardship, compliance, and ethical fundraising. Contribute to organisational planning, budgeting, and risk management discussions. Maintain accurate donor records, gift agreements, and compliance documentation in line  with data protection standards (PDPO). 
    • Work closely with the CEO, Deputy CEO, Programmes team, Volunteer Programmes  team, Finance team, and Marketing & Communications colleagues to ensure fundraising  messaging and materials are aligned with organisational brand, programme priorities, and  donor expectations.
    • Contribute insights from donor and market engagement to organisational planning,  programme development, and partnership proposals.

    What Success Looks Like

    • Annual income targets are met or exceeded across all fundraising streams. Donor pipeline is clearly tiered with defined escalation points to Deputy CEO, CEO, and  Board Directors. 
    • Senior leaders are consistently well-briefed and prepared for high-level donor  engagements. 
    • All grant applications are submitted on time with high success rates; all donor reports are  delivered accurately and on schedule. 
    • Fundraising team is fully staffed with clear individual KPIs and development plans in place. CRM data integrity and forecasting accuracy are at 90% or above. 
    • Deputy CEO is supported with operational fundraising managed seamlessly and strategic  moments identified and escalated effectively.
    • All fundraising activities meet compliance and ethical standards with zero critical incidents.

    Qualifications, Skills & Experience

    Qualifications

    • Degree holder in Business, Marketing, Communications, Non-profit Management, or a  related discipline. 
    • Relevant professional fundraising qualifications are an advantage. 

    Experience 

    • Minimum 8–10 years of progressive fundraising experience, including major donor or  high-value partnership management. 
    • Proven experience leading and managing teams. 
    • Track record of developing and delivering fundraising strategies that generate sustainable  income growth. 
    • Experience representing an organisation at senior stakeholder and executive levels.
    • Strategic thinker with the ability to balance long-term planning and hands-on execution. Excellent written and verbal communication skills in English; Chinese an advantage. Confident data user with experience using CRM systems (Odoo an advantage). 

    Working Hours 

    • We have flexible working arrangements for all staff. Our work week is Monday-Friday,  with staff required to work on some Saturdays/Sundays as is required for specific  roles, programmes, events and/or project needs.
